Summary:
As a key member of the Administrative team, the Front Office Coordinator will ensure that the front office responsibilities are carried out efficiently and effectively while delivering excellent service to internal and external clients in a manner consistent with the company's mission.
As a key member of the Administrative Team, the Front Office Coordinator will ensure that the administrative responsibilities are carried out effectively and efficiently while delivering excellent service to internal needs and external clients.
Essential Functions and
Responsibilities:
Manage and direct the incoming office calls in an effective, efficient, and productive manner.
This includes courteous and helpful customer-first service to our clients.
Sort, organize, and distribute mail in a timely fashion.
Place orders for office supplies after approval.
Schedule Conference Room usage.
Process incoming calls from customers, vendors, board members, etc.
who are interested in obtaining information about specific properties.
Obtain knowledge of the company to document service requests, and ensure the correct information is sent off to the correct person.
Send out Welcome Packets along with maintaining a Welcome Packet Log.

, keep stocked and cleaned Front/area - keep clean and organized Copier room - keep stocked, cleaned, and organized, check and distribute faxes Support the Property Managers, Administrative Assistants, and accountants with administrative needs, as assigned, with time-sensitive projects.
Update property lists and internal phone directory.
Maintain and create files for each property.
Update internal database system with Homeowner Questionnaires.
Other duties as assigned Key Competencies Strong work ethic Must be well organized and a self-starter Must be able to follow standard filing procedures Detail oriented, professional attitude, reliable Ability to type 50 - 60 words per minute Possess strong organizational and time management skills Strong problem-solving skills and multi-tasking skills Ability to communicate effectively verbally and in writing Ability to interact with employees and customers in a professional manner Ability to work independently and with a team in a fast-paced environment with emphasis on accuracy and timeliness.
Estimated Salary: $20 to $28 per hour based on qualifications.
